Here’s the small print

Welcome to the Ayurveda & Alchemy Retreat at Soul House, Sri Lanka! Whilst there is more exciting reading available, there is some important information here. Please read through all areas to ensure you fully understand the terms and conditions of booking and participating in our retreat. Thank you in advance.

1. Reservation and Payment Policies

  • A £250 non-refundable deposit is due per person at the time of booking your retreat to secure your space. The remaining balance is due no less than 6 weeks prior to the event date.

  • Flexible payment plans are available to suit your needs; please email Eliana to arrange.

  • Once you pay your deposit, you’ll be emailed with details on how to pay your outstanding balance and the dates by which to pay them. Reminder emails will be sent closer to the time. Balances must be paid prior to the event unless otherwise specified and agreed.

  • The remaining balance is to be paid by BACS and is payable to Eliana Stenning. Details will be sent via email after you pay the deposit.

  • If you can no longer attend the retreat, Eliana Stenning will retain the deposit. If cancelled within 3 weeks of the event, a further 25% of the total sum will be retained. If cancelled within 1 week of the event, the full amount will be retained.

  • Refunds (minus the deposit) are only available if you can fill your space before the event.

2. Check-in and Check-out Times at Soul House, Sri Lanka

  • Check-in Time: Check-in is available from 15:00pm. Early check-in may be arranged in advance, subject to availability and additional charges.

  • Check-out Time: Guests must vacate the property by 10:00am. Late check-out may be subject to additional charges and must be arranged in advance.

3. No Smoking Policy

  • No Smoking: Smoking is strictly prohibited inside the property. Guests are permitted to smoke only in designated outdoor areas. Violation of this policy will result in a cleaning fee of $100.

4. Property Use and Care

  • Property Use: The property is to be used for residential purposes only.

  • Care of Property: Guests are expected to treat the property and its contents with care and respect. Any damage or loss must be reported immediately, and guests are responsible for covering the cost of repairs or replacements.

5. Quiet Enjoyment

  • Quiet Hours: Guests are expected to observe quiet hours between 10:00pm and 07:00am. Excessive noise that disturbs neighbors may result in eviction without a refund.

6. Pets Policy

  • Pet Policy: Pets are not allowed unless prior arrangements have been made. Additional charges and a pet deposit may apply.

7. Security and Access

  • Security: Guests are responsible for securing the property during their stay. The owner is not responsible for any loss or damage to guests' personal belongings.

  • Access: The property owner or designated personnel may access the property for maintenance or emergency reasons. Guests will be notified in advance whenever possible.

8. Health and Wellness Waiver

  • Health Requirements: By attending the retreat, you confirm that you are physically and mentally fit to participate in group yoga, meditation, and other physical activities. Any known medical conditions must be disclosed in advance. If in doubt, please consult a healthcare professional before booking.

  • Assumption of Risk: Participation in yoga and other activities is voluntary and at your own risk. The organizers are not liable for any injuries or medical conditions that may arise during the retreat.

9. Insurance Policy

  • All participants must have comprehensive travel insurance that covers medical expenses, personal injury, cancellation, loss or damage to property, and personal liability. Proof of insurance must be provided upon request.

10. Force Majeure Clause

  • The organiser is not liable for any delays, changes, or cancellations of the retreat due to "Acts of God," war, civil unrest, pandemics, government restrictions, natural disasters, or any other force majeure events. In such cases, refunds or credits for future retreats may be offered at the organiser's discretion.

11. Cancellation by Organiser Policy

  • The organiser reserves the right to cancel the retreat if the minimum number of participants is not met or for any other unforeseen reason. In such cases, participants will receive a full refund or credit for a future retreat.

12. Code of Conduct

  • Participants are expected to behave respectfully towards other guests, retreat staff, and local customs. Disruptive or inappropriate behavior may result in removal from the retreat without a refund.

13. Data Protection and Privacy Policy

  • Your personal information is confidential and will only be used to contact you regarding the retreat. We will not share your information with any third parties without your consent, except as required by law.

14. Photography and Videography Consent

  • By attending the retreat, you consent to being photographed and filmed during select activities for promotional purposes unless you indicate otherwise on your registration form or upon arrival.

15. Indemnity and Limitation of Liability

  • Guests assume full responsibility for any accidents, injuries, or illnesses that occur on the property or during activities organised by the retreat. The property owner and retreat organisers are not responsible for medical expenses or liabilities arising from such incidents.

  • The organiser is not responsible for any loss, injury, or damage to personal property.

16. Complaints and Feedback Procedure

  • If you have any complaints or concerns during your stay, please inform us immediately so we can take appropriate measures to resolve the situation. We are committed to providing a high-quality experience and will address issues as quickly as possible.

17. Governing Law

  • These terms and conditions are governed by the laws of Sri Lanka. Any disputes will be resolved in the courts of Sri Lanka.
